Project Manager - Workforce Management / SaaS Implementation

We are looking for an experienced Project Manager to lead the end-to-end implementation of a new Workforce Management solution across a large, multi-site organisation.
This is a high-profile transformation programme spanning Operations, HR, Payroll and Technology, with responsibility for taking the project from procurement and supplier selection through implementation, integration, business change and go-live.
The successful candidate will have a strong track record of delivering complex SaaS or Workforce Management programmes and be comfortable managing senior stakeholders, third-party suppliers and implementation partners.
The Role
As Project Manager, you will take overall ownership of the programme, coordinating internal teams and external partners to ensure the new solution is successfully selected, implemented and embedded across the organisation.
Key responsibilities will include:
- Leading the end-to-end implementation of a Workforce Management, Scheduling or Rota Management platform
- Managing the programme from procurement and supplier selection through to implementation and go-live
- Leading a formal RFP process, including requirements definition, supplier evaluation, demonstrations, scoring and contract award
- Managing the selected SaaS provider and implementation partner, ensuring clear accountability against scope, milestones and deliverables
- Coordinating API-based integrations with relevant operational, HR and payroll systems
- Working closely with HR and Operations to define future-state processes, requirements and ways of working
- Developing and managing the overall programme plan, dependencies, RAID log, budget and critical path
- Leading business readiness and change activity across a large, geographically dispersed, multi-site organisation
- Establishing effective programme governance, including steering groups, executive reporting and decision-making forums
- Managing senior and executive stakeholders and ensuring risks, issues and key decisions are clearly communicated and escalated
- Coordinating technical and assurance workstreams with the appropriate specialists, including areas such as API integrations, information security, penetration testing and GDPR/data privacy
- Managing the programme through testing, deployment, go-live and transition into BAU
About You
We are particularly interested in candidates who can demonstrate experience in most, if not all, of the following:
- Significant Project or Programme Management experience delivering Workforce Management, Scheduling, Rota Management or similar operational technology solutions
- Successful delivery of complex SaaS implementations
- Experience running formal RFPs, supplier evaluations and contract award processes
- Strong third-party vendor and implementation partner management
- Experience delivering projects involving API integrations across multiple enterprise systems
- Experience working across both HR and Operations functions
- Delivery experience within large multi-site organisations, ideally operating across several hundred locations
- Strong programme governance, planning, risk and dependency management
- Confidence operating with executive stakeholders and steering committees
- A practical understanding of the technical and regulatory considerations associated with SaaS implementations, including APIs, information security, penetration testing and GDPR
You do not need to be a technical specialist. The SaaS provider and implementation partner will provide the detailed technical expertise; however, you should be sufficiently technically aware to understand the key concepts, ask the right questions, manage dependencies and risks, and hold delivery partners to account.

This role would suit a pragmatic, delivery-focused Project Manager who is equally comfortable working with operational teams, HR stakeholders, technology specialists and senior executives.
You will be able to bring structure to a complex programme, challenge suppliers constructively, translate between business and technical teams, and maintain momentum from initial procurement through to successful organisational adoption.
